A practical capacity guide for comparing Hiace, Coaster and 60–66-seat buses against the busiest shift, route and boarding plan.
A bus capacity should match the number of people travelling together on the busiest departure—not a company's total headcount. That small distinction can prevent a vehicle from being too large for the route or too small for the shift change.
Start with peak passengers per trip
Write down how many people need a seat on each departure, including supervisors or visitors who regularly travel with the team. If separate shifts leave at different times, plan each movement separately. A 70-person workforce spread across multiple departure windows is not the same transport requirement as 70 people arriving at once.
Compare the capacity bands
A 12- or 13-seat Toyota Hiace may be a useful starting point for a small team or a route with several neighbourhood pickups. A 22- or 30-seat Toyota Coaster can be worth comparing when one van no longer matches the group. For larger movements, a 60- or 66-seat bus may reduce the number of vehicles, provided the route, access and boarding points work for a larger vehicle.
Seat capacity alone does not account for bags, tools or equipment. Ask for the exact usable passenger configuration and clarify whether the listed seat count includes the driver.
Check the route before you choose
Map each pickup in travel order. Note the expected boarding time, the time workers must reach the destination and the return window. A direct route, a multi-stop collection and a long-distance transfer can each need a different timetable even when passenger numbers are identical.
Prepare a comparable quote request
Give each transport provider the same passenger count, pickup sequence, destinations, service days, start and finish times, rental period and any requested driver, fuel, mileage, toll or waiting-time details. Ask that all inclusions and exclusions appear in writing.
